Community Manager

We’re seeking a dedicated Community Manager to oversee multiple HOAs across the San Gabriel Valley. You’ll be the main contact for boards, homeowners, vendors, and officials — ensuring each community runs smoothly and stays compliant. Your role includes managing maintenance, handling key administrative tasks, and delivering exceptional service with professionalism and integrity.

Pasadena, CA Full-time Hybrid
Responsibilities:
  • Apply each association’s governing documents to guide boards in the effective management and maintenance of their communities.
  • Perform routine inspections for rule violations, issue and track notices, and ensure timely resolution.
  • Prepare agendas, board packets, and meeting minutes; attend board meetings and present financial statements with clear commentary.
  • Collaborate with boards on annual strategy meetings to set short- and long-term community goals and implement planned improvements.
  • Evaluate and select vendors, monitor performance, and obtain competitive proposals for projects exceeding board-approved budgets.
  • Review, code, and approve vendor invoices, prepare work orders, and assist in managing association budgets.
  • Respond promptly to inquiries from boards, committees, and homeowners, including maintenance requests, architectural submissions, and compliance matters.
  • Prepare and distribute annual disclosure documents and attend annual membership meetings.
  • Participate in the after-hours emergency rotation and provide responsive support when needed.
  • Follow all association and company policies and procedures.
  • Perform other responsibilities as assigned to support the success of the communities under management.

  • Strong organizational, time management, and decision-making skills with the ability to work independently.
  • Demonstrated leadership and problem-solving abilities.
  • Proficiency in Microsoft Word and Excel.
  • Reliable transportation, a valid driver’s license, and current auto insurance are required.
Assistant Community Manager

We’re seeking a proactive and detail-oriented Assistant Community Manager to support daily HOA operations across the San Gabriel Valley. You’ll serve as a key link between managers, residents, boards, and vendors — ensuring clear communication and efficient service. This role involves managing administrative duties, coordinating maintenance, and providing responsive support with professionalism and integrity.

Responsibilities:
  • Manage daily administrative tasks, including correspondence, phone calls, scheduling, and documentation.
  • Assist with preparing and distributing agendas, notices, reports, and materials for monthly board and annual meetings.
  • Upload and organize meeting minutes, contracts, calendars, and property documents within internal systems.
  • Maintain up-to-date vendor files, including insurance certifications.
  • Update association websites and property records as needed.
  • Support Community Managers with action lists, follow-ups, and project updates.
  • Respond promptly and professionally to homeowner and resident inquiries,concerns, and complaints
  • Create and manage work orders, coordinate with vendors, schedule maintenance, and communicate updates to residents and boards.
  • Assist new homeowners with registration, onboarding, and understanding association documents.
  • Keep residents and board members informed about project timelines, work progress, and community updates.
  • Support Community Managers in resolving issues and addressing compliance matters constructively.
  • Receive, review, and verify association invoices for manager approval.
  • Assist with vendor requests for proposals and coordinate site inspections.

qualifications:
  • High school diploma required; some college coursework preferred.
  • At least 2 years of recent office experience or 1 year of HOA management experience.
  • Strong written and verbal communication skills.
  • Customer service experience is strongly preferred.
  • Professional appearance and demeanour.
  • Excellent organisational skills with the ability to manage time and prioritise tasks effectively.
  • Proficiency in Microsoft Word and Excel.
